Overview of PT Asahi Networks Indonesia
PT Asahi Networks Indonesia (ANI) is a foreign investment (PMA) company established in 2012. ANI is part of the Asahi Tax Corporation Group from Japan, one of the country’s largest tax consulting firms. Established through close collaboration with Asahi offices in Thailand and the Philippines, PT Asahi Networks Indonesia forms a regional network designed to support business expansion from Japan to Southeast Asia.
Based in Jakarta and serving surrounding areas such as Bekasi, Cikarang, Karawang, and Tangerang, ANI provides management, tax, and accounting consulting services upholding Japanese standards. ANI serves both Japanese and local clients, offering comprehensive support ranging from business establishment to monthly financial reports and annual tax filings.
How PT Asahi Uses Mekari Sign
Initially, ANI adopted Mekari Sign to manage internal documents, specifically the signing and digital stamping (e-Meterai) of invoices. Now, ANI plans to expand its usage of Mekari Sign to external documents, such as engagement letters with partners.
Prior to digitalization, ANI managed their documents manually. This process was time-consuming and prone to both delays and errors. To overcome these challenges, ANI sought a digital solution and ultimately selected Mekari Sign’s e-Signature features.
Yoshiro Okamoto, President Director of ANI, noted that this marked the company’s first step in digital business transformation, as they had never utilized a digital document management platform before. Problems
Time-consuming Document Delivery and Signing
ANI typically handles hundreds of documents each month, the majority being client billing invoices. Previously, up to 100 of these documents required manual signing and stamping every month. This manual method created a significant bottleneck, often taking weeks just to complete a single cycle.
Furthermore, manual document management was cost-inefficient, particularly when dealing with overseas clients. For instance, some of ANI’s clients in Japan still relied on physical documents, necessitating traditional courier delivery from cross-country parties. This method was not only slow but also incurred high operational costs.
Manual Verification is Prone to Delays and Errors
In addition to the signing and stamping process, the document verification processes at ANI was historically slow. Using wet signatures and physical Meterai stamping required documents to be printed, resulting in stacks of paperwork that were too difficult to track. This manual checking process frequently led to administrative errors and operational delays.
Solution
More Efficient Electronic Signature and Stamp
The implementation of electronic signatures and stamps has enabled ANI to accelerate document management significantly. Processes that previously took up to two weeks using wet signatures and physical stamps have been replaced by a digital Meterai that is far more time-efficient. ANI also encourages their clients to switch to electronic signatures, as they eliminate the need for printing and do physical delivery, resulting in substantial cost savings.
Processing documents is now faster, 100 documents can now be done in only 2-3 days. All no longer take weeks.
More Organized and Practical Document Management
Switching to a digital solution has not only simplified the signing and stamping process but also streamlined overall document management. The document verification process is now more practical, as every document is accessible through a single, secure platform.
Now, the preparation is much faster. Previously, we had to check each document one by one to see whether it had been signed or not. But now, it’s much more practical and easier to monitor.
Result
Document Management is now More Time Efficient
Document management at ANI is now faster and more efficient thanks to Mekari Sign’s features. The time-consuming wet signatures are now able to be completed without needing to print or physically ship documents. On the other hand, digital stamps (e-Meterai) can also be applied instantly, removing the need to purchase and manually stamp physical Meterai to hundreds of invoices. Now, the workflows that once took weeks are now finalized in a matter of days.
With Mekari Sign, ANI’s finance team minimizes delays by monitoring documents in real-time. What used to be a manual, one-by-one review process, is now seamless and organized.
Sometimes, we forget to send invoices although the project is completed because the documents pile up and are hard to track. With Mekari, processing proposals can be smoother and more organized.
